Holding the Pace
The person who controls the pace controls the room.
When a situation is stressful, most people speak faster and with a higher pitch. If you match their frantic speed, you add to the anxiety.

When the conversation gets tense or fast, intentionally lower your speaking speed by 10% and lower your pitch.

When you transition between ideas, allow a natural, comfortable pause. Don't rush to fill the empty space; let your last sentence settle.
This signals: "I am not panicked. We are safe, and I am in control of my expertise." It makes the other person feel instantly more relaxed and supported by you.

Active Synthesis
Unforgettable leaders don't just push their own agenda; they make others feel deeply seen and understood. Before people care about your HR strategy, they need to know you understand their business reality.

Before jumping in with your recommendation, pause and summarise the tension the other person is facing.
Example:

"It sounds like you are balancing two very difficult pressures right now: you need to hit the Q3 target, but you are also worried about burning out the team. Is that how it feels?"
By naming their reality instead of just offering opinion or advice immediately, you move from a "service provider" to a true partner. It makes them feel that you are on their side, fighting the problem with them.

Reframing
You don’t change a CEO’s or Director's mind by arguing with their point of view. You change their mind by expanding the picture they are looking at.
1. "We are looking at [Current Detail]."
2. "If we look at this from a broader business perspective, how does it affect [Strategic Risk/Goal]?"
Example:
"We are looking at how fast we can fill this role. If we look at this from a broader business perspective, what is the risk to our team culture if we rush the selection?"
You aren't disagreeing with the senior leader; you are inviting them to look at the "Big Picture" with you. This shifts your status from a functional HR manager to a visionary business partner.
